Meet the New YoPrint Customer Portal

Meet the New YoPrint Customer Portal

The new YoPrint Customer Portal is rolling out this week.

It’s the page your customers use to approve proofs, check job status, and pay their bills. We rebuilt it from the ground up with one simple goal: letting your customers get answers and take care of business without having to call your shop first.

Before we dive in, two quick things you’ll probably want to know:

  1. It won’t cost you anything extra. The new portal is included on every YoPrint plan.
  2. You keep sending proofs and invoices from YoPrint the same way you do today.

Customers see what’s waiting on them right away

When a customer logs in, the Home page puts whatever needs their attention front and center, especially any artwork waiting on their sign-off.

If an order is on hold for approval, the portal tells them plainly: “Approval needed before work is scheduled.” That way, they immediately understand why timing matters. When no approvals are waiting on them, it simply lets them know: “You are all caught up.”

Their open balances and any required deposit sit right alongside. Customers can also grab their balance statement directly from Home. In the Jobs tab, they can see every active job across their orders and quotes, complete with the in-hands date whenever you've set one.

Clear, straightforward artwork approvals

No more digging through buried email threads. Everything waiting for approval now lives in one Approvals tab. Customers can search it by order number, quote, job name, or purchase order, and a quick counter in the menu shows exactly how many proofs are left to review.

Reviewing artwork is simple: they can approve it on the spot or request changes. If they click to request changes, the portal asks them to type a quick note explaining what needs tweaking. That means every “no” comes back to you with clear instructions on what to fix.

Once they work through the proofs, they sign once at the end with a typed signature. You get their decision back immediately, stamped with their signature and the exact time they finished.

Pay multiple invoices in a single checkout

If you collect payments online, customers can easily pay an invoice right from the document. But here's the real time-saver: they can also select invoices across up to ten different orders and pay them all together in a single checkout (as long as they're for the same customer account, in the same currency, and going through the same payment processor).

Invoices clearly display the customer's PO number, which is usually the first thing an accounts team looks for.

Checkout takes three quick steps: check the amount, pick the payment method, then review and pay. Afterwards, the receipt breaks down exactly which orders and invoices were covered. Customers can also make partial payments if they need to split a bill across multiple cards.

And if someone closes their browser tab mid-payment, the portal checks with the payment processor first before letting anyone try again, which helps stop a bill being paid twice by accident.

Everyone logs in as themselves

Every contact at a customer account can now log in using their own email address. They can either grab a quick six-digit code sent to their inbox or set up a regular password. That code email arrives under your shop’s name, with your logo included, so they know it’s genuinely from you.

Because team members log in as themselves, any message sent through the portal shows you exactly who wrote it.

Even better: if a buyer manages multiple accounts with you (like an organization and an affiliated club), they can jump back and forth between accounts without signing out.

A few more helpful additions

  • Messages: Keep all back-and-forth about an order or quote in one central inbox. Whenever a customer drops a note, your team gets an email and a YoPrint notification.
  • Activity feed: A clean timeline of recent updates, from status changes and proof approvals to payments and shipping details.
  • Live updates: No need to hit refresh. If you update an order, artwork file, payment, or tracking info on your end, the customer's screen updates in real time while they have it open.
  • More languages (beta): Customers can now pick Spanish as well as English and French.
  • Your shop in the browser tab: The portal shows your shop's name and icon right on the browser tab, making it easy for customers to spot you among open tabs.

Everything you’re used to carries right over into the new design, including your logo, brand colors, dark mode, mobile layout, typed signatures, 3D mockups, deposit rules, and PDF downloads.

How we're rolling this out

We're handling the entire transition behind the scenes. There is nothing you need to turn on or configure, other than making sure your customer emails on file are up to date.

Here is the timeline for the switch:

  • At launch: Customers can keep using the approval links they already have. To make a payment or send a message, they’ll do a quick sign-in.
  • Day 30: Any new shops joining YoPrint will start directly on the new sign-in flow. If you’re already with us, this step doesn't change anything for you.
  • Day 60: All portal access switches over to sign-in. Older email links will still work. They'll just prompt the customer to log in first and take them straight to the right page.

The one thing to check on customer emails: Customers sign in using the email address you have on file for them in YoPrint. They'll need that email on file to pay an invoice or send a message from launch, and to sign in for everything once Day 60 arrives. We won't send any announcements directly to your customers, so feel free to give them a heads-up whenever you're ready.

Rolling out this week

Clearer proof approvals, invoices settled in one go, and customers who can answer their own “where’s my order?” questions without tying up your front desk.

The new portal is rolling out this week, and we can’t wait for your customers to try it.
